Project Manager

This is a fulltime first shift position (Monday – Friday) 7:30 AM 4:30 PM

Position Overview:

The Project Manager at Excel Fluid Group will assume a vital role in overseeing, organizing, and coordinating project activities, serving as the primary point of contact clients and vendors. This position necessitates close collaboration with senior project managers, engineering, administration, sales, and operations teams, as well as regular engagement with key clients and vendors.

Duties & Responsibilities would include but not limited to:

  • Project Planning: Develop comprehensive project plans, outlining project scope, goals, deliverables, resources, budget, and timelines. Identify project risks and implement mitigation strategies.

  • Project Execution: Lead project teams in executing tasks as per the project plan, coordinating activities, and ensuring project milestones are achieved. Monitor project progress and promptly address any deviations from the plan.

  • Resource Management: Assign responsibilities to team members, ensuring the appropriate allocation of resources and skills required for project success. Foster a collaborative team environment and provide guidance to team members as needed.

  • Budget Management: Track project expenses and ensure adherence to the allocated budget. Take proactive measures to optimize resource utilization and cost efficiency.

  • Risk Management: Identify potential project risks and develop risk mitigation plans. Proactively address any emerging issues and ensure the project remains on track.

  • Stakeholder Communication: Maintain open and transparent communication with stakeholders, providing regular project updates, status reports, and addressing any concerns promptly.

  • Quality Assurance: Ensure that project deliverables meet the required quality standards and are aligned with the client's expectations.

  • Change Management: Handle project changes and scope adjustments, ensuring appropriate documentation and approval processes are followed.

  • Project Closure: Conduct project reviews, identify key learnings, and prepare project closure reports. Obtain client feedback and ensure customer satisfaction.

  • Continuous Improvement: Drive process improvement initiatives to enhance project management methodologies, tools, and best practices within the organization.

Key Performance Indicators (KPIs):

  1. Project Delivery on Time and Within Budget: Consistently manage and deliver projects in accordance with the approved timelines and budgetary constraints.

  2. Risk Management and Mitigation: Identify, assess, and proactively mitigate project risks, ensuring projects do not experience significant unforeseen delays or issues.

  3. Resource Management Efficiency: Optimize the allocation of resources across projects, ensuring that resource utilization is maintained without compromising quality.

  4. Project Documentation and Reporting: Ensure that all project documentation is 100% accurate and up to date, including but not limited to submittals, Installation, Operation & Maintenance (IOM) manuals, and all relevant project data. All documentation must align with organizational standards and be submitted in a timely manner, ensuring clear communication with both internal teams and external stakeholders.

  5. Team Collaboration and Leadership: Demonstrate strong leadership in managing project teams, fostering a collaborative environment, and achieving team performance goals based on internal assessments.

  6. Self-Sufficiency and Independent Project Management: By the 6-month mark, demonstrate the ability to manage projects independently, requiring minimal guidance from senior management, and effectively making recommendations for strategic decisions that align with project and organizational goals.

  7. Continuous Improvement and Innovation: Proactively seek opportunities to improve project processes and introduce innovative solutions that lead to enhanced project outcomes, with at least one improvement initiative proposed and implemented within the first year.

  8. Adherence to Organizational Standards and Best Practices: Ensure compliance with all organizational policies, standards, and best practices in project management, with a goal of maintaining 100% adherence throughout all projects.

Qualifications:

  • Proven experience (minimum 2 years) in project management, preferably within the industrial or engineering sectors
  • Proficiency in technical aspects related to pump station design and fluid handling systems is advantageous.
  • Strong organizational, analytical, and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Ability to read and interpret construction drawings and technical documents.
  • Strong analytical skills with exceptional attention to detail.
  • Effective written and verbal communication skills.
  • Highly organized, self motivated, and capable of managing multiple priorities.
  • Ability to work with Adobe PDF tools (viewing, reviewing, commenting, combining files).
  • Proficiency with the Microsoft 365 Suite, including:
    • Outlook (email and scheduling)
    • Word (document creation and editing)
    • Excel (data entry, formatting, formulas, and reporting)
